How to Fix Agent Name Errors in the Lead Import Zip Table

Before completing a lead import, review the Counts and Checks sheet for agent-name errors. Two common problems can prevent leads from being assigned correctly:

  1. An agent’s name appears more than once in the Zip Table check.

  2. An agent appears in the “Agents to Add to the Zip Table” section.

Although both issues involve agent names, they do not have the same cause. Follow the appropriate process below before continuing the import.

Issue 1: The Same Agent Appears Twice in the Zip Table Check

The list of agents from the Zip Table should contain each agent’s name only once. If the same name appears twice on the Counts and Checks sheet, the two entries are not truly identical—even if they look identical on the screen.

The most common cause is a hidden difference such as:

  • A space before or after one version of the name

  • An extra or missing character

  • A spelling difference

  • Different formatting in one of the records

How to correct the duplicate

  1. On Counts and Checks, identify the agent whose name appears twice.

  2. Open the Zip Table and find every occurrence of that agent.

  3. Select one correct version of the agent’s name and copy it directly from the cell.

  4. Paste that exact value over every other occurrence of the name in the Zip Table. Copying and pasting the value removes hidden differences that may not be visible.

  5. Return to Counts and Checks and confirm that the duplicate has disappeared.

  6. In Meskula, open Automations and locate the assignment process:

    • Open the applicable process or subprocess.

    • Find Assign User.

    • Use the browser’s Find command (F3) to locate the agent.

    • Confirm that the referral-agent name matches the corrected Zip Table name exactly.

    • Paste the same copied value into the workflow field if necessary, then save the workflow.

  7. Check the applicable contacts in the CRM. Confirm that the referral-agent value and the property ZIP assignment are correct.

Why exact matching matters

The spreadsheet, CRM, and workflow match agent names as text. A trailing space or small spelling variation creates two different values for the system, even when the names look the same to a person. The agent’s name must be identical everywhere it is used.

Issue 2: An Agent Appears in “Agents to Add to the Zip Table”

This warning means an agent is present in the CRM’s agent list but the same name cannot be found in the Zip Table. Do not assume the agent simply needs to be added. First determine why the name is being flagged.

Possible causes include:

  • The agent is genuinely missing from the Zip Table.

  • The agent is listed under a different version of the name.

  • The assignment workflow uses a different name.

  • The agent is temporarily paused.

  • The agent has been offboarded but is still marked as active in the CRM.

How to investigate and correct the warning

  1. Start with the agent listed under Agents to Add to the Zip Table on the Counts and Checks sheet.

  2. Search for the agent in the Zip Table. Search by part of the name if necessary.

  3. Determine whether the agent is:

    • Active and genuinely missing

    • Active but listed under a different name

    • Temporarily paused

    • Offboarded

  4. If the agent is active, open Settings > My Staff in Meskula and verify the official user name. Treat that as the name that must be used consistently.

  5. Open Automations, locate the applicable assignment process, and check Assign User. Confirm that the workflow is assigning the same user and using the same agent name.

  6. Check the agent’s record under CRM Clients. If the contact record uses a middle name, nickname, or other variation, edit it to match the official user name exactly and save the record.

  7. If the active agent is genuinely absent from the Zip Table, add the agent and the correct ZIP assignments.

  8. If the agent is paused, confirm why the account is paused before restoring lead imports. A pause may be temporary—for example, a vacation, surgery, or administrative hold.

  9. If the agent has been offboarded, correct the agent’s CRM status instead of adding the person back to the Zip Table.

  10. Refresh or repeat the export/import check. The corrected agent should no longer appear in Agents to Add to the Zip Table.

Final Check Before Importing Leads

Do not continue the lead import until the name checks are clean:

  • Each agent appears only once in the Zip Table agent list.

  • The “Agents to Add to the Zip Table” section is empty, unless a flagged agent is still being researched.

  • The agent’s name matches exactly in My Staff, CRM Clients, the Zip Table, and the Assign User workflow.

  • Paused and offboarded agents have been handled according to their actual status.

  • The referral-agent and property-ZIP assignments have been verified on the affected contacts.

Taking a few minutes to resolve these warnings before the import prevents leads from being skipped, assigned to the wrong person, or routed through an incorrect workflow.
