How to Use Remine to Find Phone Numbers and Email Addresses for Client Leads

An agent may provide us with a useful list of properties without including the owners’ telephone numbers or email addresses. When that happens, Remine can help us match the property records, identify available ownership information, and return additional contact data for CRM preparation.

This process begins with clean property-address data. Staff must map the incoming columns correctly, allow Remine time to match the properties, and understand that not every submitted record will produce a match or complete contact information.

What You Need Before Starting

The source file should contain these property fields:

  • Property street address

  • City

  • State

  • ZIP code

The street address and ZIP code are the most important identifiers, but the complete address gives Remine the best opportunity to match the correct property.

Prepare the data as a CSV or another format accepted by Remine. The file should contain one property per row with clearly labeled columns.

What This Process Does

Instead of searching for properties one ZIP code at a time, this procedure works in reverse:

  1. We give Remine a list of known property addresses.

  2. Remine attempts to match those addresses to property records.

  3. We export the matched records with the available property, ownership, telephone, and email data.

  4. We download the completed file for the next stage of cleaning and CRM import.

Remine may not match every property, and a matched property may not contain every desired contact field. The returned data must still be reviewed before use.

Step 1: Confirm There Is Room in Remine

  1. Log in to Remine.

  2. Open Carts.

  3. Review the existing carts and their record counts.

  4. Confirm there is enough available capacity for the new upload.

Remine can handle large lists, but cart capacity is limited. In the workflow shown in the video, total for all carts can not exceed 10,000 properties. If there is not enough room, identify an old or unnecessary cart that can be removed.

Before deleting a cart

Never delete a cart merely because its name is unfamiliar. Confirm that:

  • The cart is no longer needed.

  • Any required data has already been exported and saved.

  • The cart is not part of another staff member’s active work.

When deletion is appropriate, select the cart, follow Remine’s delete process, and type the requested confirmation word.

Step 2: Start the Property Upload

From the Carts area:

  1. Select the upload arrow or Upload Properties option.

  2. Drag and drop the prepared file into the upload window, or browse to select it.

  3. Allow Remine to read the file’s headers.

The uploaded file may contain many fields. Remine only needs the correct address columns mapped for the property-matching process.

Step 3: Map the Address Fields Correctly

Match the fields from the source file to Remine’s property fields:

  • Property AddressStreet Address

  • Property CityCity

  • Property StateState

  • Property ZIP CodeZIP

If the file contains a unit-number field and it is needed to distinguish individual properties, map it appropriately. If the list contains only properties without units, it may be left unmapped.

Do not assume Remine has interpreted the columns correctly. Verify every mapping before continuing. A shifted or incorrect field mapping can reduce the match rate or associate data with the wrong property.

Step 4: Name the Cart Clearly

Give the new cart a descriptive name that another staff member can understand later.

A useful naming convention is:

Client or project – lead type – market or date

Examples:

  • Meskula – Expired – LA

  • Smith – Farm – 2026-09

  • Jones – Seller Database – Palm Beach

Avoid vague names such as “New List,” “Upload,” or “Launch List.” A clear name makes later review, export, and deletion safer.

After naming the cart, select Next to begin the upload and matching process.

Step 5: Wait for Remine to Complete the Match

Remine will search for property records corresponding to the uploaded addresses. Large files may take several minutes or longer.

You may return to the main page or refresh the Carts area while waiting. Watch the notification or alert area for confirmation that the CSV upload has finished.

Do not start the export merely because the cart name appears. Confirm that Remine has completed the upload and that the cart displays the matched properties.

Step 6: Review the Match Count

Compare:

  • The number of properties submitted

  • The number of properties Remine matched

The two numbers may not be equal. In the video example, approximately 6,600 property records were submitted and roughly 5,600 were matched.

An unmatched record is not necessarily invalid. Possible causes include:

  • An incomplete or inaccurate address

  • A missing or incorrect ZIP code

  • A recently created or changed property record

  • A unit-number issue

  • A formatting difference

  • No corresponding property record in Remine

Record the submitted and matched counts so the difference is not mistaken for accidental data loss later.

Step 7: Export the Matched Properties

Once the match is complete:

  1. Open the completed cart.

  2. Select the matched properties you intend to export.

  3. Choose Export.

  4. Give the export a recognizable name.

  5. Select the complete export or the standard set of fields required by the Meskula process.

  6. Submit the export request.

Remine will process the export in the background. Watch for the success message and the later alert indicating the export is ready.

Step 8: Download and Preserve the Export

When Remine confirms that the export has finished:

  1. Download the exported file.

  2. Confirm that the file opens successfully.

  3. Save it with a descriptive name that identifies the client and source list.

  4. Preserve the original exported file before making major edits.

  5. Continue with the approved data-cleaning and CRM-import procedure.

The Remine export is not automatically ready for outreach. It must be reviewed, cleaned, mapped, and imported according to the applicable Meskula procedure.

Data-Quality and Privacy Safeguards

Property and contact data must be handled carefully.

  • Treat returned phone numbers and email addresses as possible matches, not guaranteed facts.

  • Verify that the owner and property information make sense together.

  • Do not overwrite stronger client-provided data merely because Remine returned a different value.

  • Preserve the source and date of the enriched data.

  • Keep client lists and exported contact data in approved systems and folders.

  • Do not use the data outside the authorized client purpose.

  • Follow applicable calling, texting, email, Do Not Call, consent, and company-compliance requirements before outreach.

If the match appears questionable, flag the record for review rather than treating the returned information as verified.

Common Mistakes to Avoid

  • Uploading a file without a complete or usable property address.

  • Mapping a mailing address when Remine needs the property address.

  • Mapping the wrong source column to Street Address, City, State, or ZIP.

  • Ignoring apartment or unit information when it is needed to identify the property.

  • Deleting an existing cart without confirming that it is no longer needed.

  • Using a vague cart or export name.

  • Assuming every uploaded property will match.

  • Assuming every match will include a phone number and email address.

  • Exporting before the upload and matching process has finished.

  • Importing the raw export into the CRM without reviewing and cleaning it.

Final Checklist

Before considering the Remine portion complete, confirm:

  • The source file contains one property per row.

  • Street address, city, state, and ZIP code are available and mapped correctly.

  • There was sufficient cart capacity for the upload.

  • Any deleted cart was confirmed to be unnecessary.

  • The new cart was given a clear, descriptive name.

  • Remine completed the upload and property-matching process.

  • The submitted and matched record counts were documented.

  • The correct properties were selected for export.

  • The export was named clearly and completed successfully.

  • The downloaded file opens and has been preserved.

  • The data will be reviewed and cleaned before CRM import or outreach.
